About this role

ABOUT US

Abbotsford Road roasts specialty coffee in Red Hook and sells it wholesale to cafés, restaurants and grocers, alongside ancillaries and espresso equipment.

This is the first accountant we have brought in-house, and it comes at a positive turning point in our business. The groundwork is done: systems are integrated and reconciled, the inventory costing chain is built, and the processes are largely documented.

The role runs with full-cycle accounting, AP and AR, a real month-end close, year-end and tax, and the inventory costing that sits underneath every margin in the business, with hands-on support from the Founders and the CFO.

What makes this different from most senior accountant seats is that inventory piece. We buy green coffee on forward contracts, roast, blend and pack our own product, so cost of sales is built from contract pricing, landed freight and duty, roast yield and bills of materials in Unleashed long before it reaches the Xero GL. The role covers that chain end to end rather than picking it up as a finished journal.

In practice that means standard costs tested against actual roast yields, landed cost on imported green coffee, and gross margin by blend and pack size — real cost accounting, on a scale where one person can still see the whole of it.

This is not a processing seat. With the systems in place, the work moves into management reporting, budgeting and forecasting, and profitability by product stream — done alongside the Founders and the CFO rather than handed over finished.

Reports to

CFO · Location: Red Hook, Brooklyn, on-site · Type: Full-time, exempt

WHAT YOU WILL DO:

  • Own day-to-day accounting in Xero: transaction coding, journal entries and a clean chart of accounts.
  • Run accounts payable end to end — vendor bills, approval routing, ACH and check runs, vendor statements and AP aging.
  • Run accounts receivable — invoicing accuracy, collections, credit limits and AR aging.
  • Keep bank, credit/debit card and payment processor accounts reconciled and current.
  • Manage day-to-day banking and cash: payment runs, transfers, foreign currency settlements on green coffee, merchant accounts, and reporting to the bank where facilities require it.
  • Build the annual budget with the Founder and CFO, load it, and reforecast against it through the year.
  • Maintain and strengthen internal financial controls and risk management processes.

Inventory and product costing

  • Assist with product costing from the green coffee contract through roasting and packing to the finished bag.
  • Make sure freight, duty and broker charges land on the right products before a purchase order is closed.
  • Maintain bills of materials and roast yield assumptions, and test them against what the roastery actually produces.
  • Reconcile inventory monthly and trace differences back to the transaction that caused them.
  • Review inventory adjustments, write-offs and samples.
  • Keep product and customer data clean, so pricing and margin reporting hold up.

Systems and data

  • Own the integrations between Unleashed, Xero, Stripe and ADP, and the GL mapping that sits behind them.
  • Keep Unleashed and Xero in step, so stock, cost and revenue say the same thing in both.
  • Maintain master data — products, customers, price tiers and account codes — to a standard that holds up in reporting.
  • Investigate sync failures and posting errors at source rather than correcting them in the ledger.
  • Document the finance processes that run across both systems, and keep that documentation current.
  • Find the manual steps worth automating, and help evaluate future systems as the business outgrows the current stack.

Payroll

  • Process semi-monthly payroll in ADP, from hours and timesheet review through to funding the run.
  • Post the payroll journals and keep the payroll clearing accounts reconciled.
  • Maintain PTO, bonus and commission accruals.
  • Administer benefit and 401(k) remittances and tie them back to provider statements.
  • Set up new hires, changes and terminations, and keep employee records current.
  • File payroll taxes alongside ADP and support workers' compensation audits.

Month-end close

  • Close the month to a published calendar and hand over a pack the business can act on.
  • Prepare accruals, prepaid amortization, depreciation and reserves, with workpapers behind each.
  • Reconcile every balance sheet account back to source, inventory included.
  • Produce the reporting pack: P&L against prior period and budget, balance sheet, cash, AR and AP aging, and gross margin by product line.
  • Write the variance commentary — what moved, why, and what it means.
  • Maintain a rolling 13-week cash flow forecast.

Planning and analysis

  • Support pricing decisions, pricing reviews and margin improvement initiatives.
  • Contribute to strategic planning, capital investment analysis and scenario modelling.

Year-end and tax

  • Run the fiscal year-end close and workpaper file, and prepare the financial statements.
  • Manage the physical inventory counts with the warehouse team, through to final valuation.
  • Maintain the fixed asset register: additions, disposals and depreciation schedules.
  • Own the compliance calendar — New York State sales tax and resale certificates, federal and state corporate returns and estimated payments, and 1099 reporting.
  • Ensure compliance with US GAAP, tax and other statutory reporting requirements.

Who we are looking for

  • CPA, CPA candidate, or equivalent experience running full-cycle accounting through fiscal year-end. International equivalents (CA, ACCA, CIMA) considered.
  • Five or more years hands-on, at least two owning a month-end close rather than contributing to one.
  • Fluent in Xero, or fluent in QuickBooks with demonstrated ability to work across platforms. Chart of accounts design, multi-currency, bank rules, integration troubleshooting.
  • Inventory and cost accounting in a manufacturing, CPG, food and beverage or distribution business. BOMs, WIP, standard costing, landed cost, physical counts.
  • US tax compliance: federal and state corporate filings, New York State sales tax, 1099s.
  • Advanced Excel, and the instinct to find root cause rather than post an adjustment. The best fixes here are process fixes.
  • Comfortable in a small company: reconciling an account at nine, explaining a margin to the founder at eleven, and telling operations a process has to change at three.

Desirable

  • Unleashed, or another inventory or ERP platform (Cin7, DEAR, Fishbowl, NetSuite, Odoo, Sage Intacct).
  • Coffee, specialty food, or perishable CPG.
  • New York State and New York City tax experience; import duty and tariff classification.
  • Commodity or forward contract accounting. We hold forward positions on green coffee.

SQL or Python, or comparable ability to pull and join data directly rather than wait for a report.

Pay: $85,000.00 - $95,000.00 per year
