About this role

About WellPartners

----------------------

WellPartners Dental and Eye Health provides oral healthcare, eye care, and education with dignity and respect to low-income patients who face barriers to care because of income, lack of insurance, or underinsurance. Our team serves patients through dental and eye clinics in the Midlands of South Carolina.

The Opportunity

-------------------

We are seeking a hands-on Business Operations Manager to lead the essential back-office functions and administrative operations that keep our clinics running effectively. This is a working manager role: the successful candidate will supervise staff, coordinate external service providers, and personally manage critical processes, deadlines, and reporting.

The position partners closely with the Executive Director and clinical leaders to strengthen service consistency, financial discipline, and operational accountability.

What You Will Do

--------------------

Business and clinic operations

  • Coordinate day-to-day administrative operations across dental and eye clinic locations, including purchasing, vendors, supplies, systems, and workflow improvements.
  • Partner with clinical leadership to resolve administrative issues, support patient access, and maintain consistent procedures across locations.

Front desk supervision and patient service

  • Directly supervise designated front desk and administrative staff, including training, coaching, scheduling coverage, and performance follow-through.
  • Maintain consistent standards for patient scheduling, registration, communications, and customer service in coordination with clinical leaders.

Human resources and payroll administration

  • Coordinate onboarding, offboarding, personnel records, benefits administration, timekeeping, and payroll inputs with internal leaders and external providers.
  • Track deadlines, resolve routine discrepancies, and support consistent implementation of employee policies while maintaining confidentiality.

Finance and accounting coordination

  • Serve as the day-to-day operational liaison with Elliott Davis, WellPartners’ external accounting partner.
  • Coordinate invoices, purchasing documentation, expense tracking, budget information, and materials needed for monthly financial processes, audits, and grant-related financial reporting.

Reporting and performance monitoring

  • Own the administrative reporting calendar and coordinate timely, accurate clinic dashboards, patient volume and visit reports, grant reporting inputs, and management summaries.
  • Track progress against the organizational roadmap, action items, and performance measures; flag gaps, trends, and deadlines for management attention.

What You Bring

------------------

  • Bachelor’s degree in business administration, healthcare administration, nonprofit management, or a related field, or equivalent relevant experience.
  • At least five years of relevant experience in business operations, healthcare administration, or a comparable environment, including staff supervision.
  • Practical experience with payroll or HR administration, purchasing, financial coordination, and operational reporting.

Strong Excel and Microsoft 365 skills; comfort learning and administering d workflows and systems such as * Point.

  • Sound judgment, discretion with confidential information, attention to detail, and a track record of meeting deadlines.
  • A service mindset and willingness to roll up your sleeves, solve problems, and complete the work—not simply delegate it.

Especially Valuable

-----------------------

Experience in a nonprofit, community health clinic, or safety-net healthcare environment; familiarity with grant-funded programs and reporting; experience coordinating outsourced accounting, HR, or payroll providers.

What Success Looks Like

---------------------------

Reliable payroll and administrative processes; timely, complete documentation for Elliott Davis; consistent front desk scheduling and patient service; accurate clinic and grant reporting; and visible progress on operational priorities across WellPartners locations.
