About this role

About Texas Regional Urology

Texas Regional Urology is an established, independent surgical group serving the North Houston community for nearly 20 years. With 4 physicians, a Nurse Practitioner, and 3 modern offices (The Woodlands, Kingwood, and Tomball), our 20-person team is committed to delivering efficient, high-quality, and compassionate patient care.

Our practice infrastructure features an established, dedicated internal billing team managing our revenue cycle and external bookkeeping managing corporate financials. We are seeking a detail-oriented, floor-focused, and energetic Clinic Operations Manager with an outpatient clinical background (former Medical Assistant, Clinical Lead, or LVN) to run the day-to-day administrative and operational rhythm of our practice.

Position Summary

This is an active, roll-up-your-sleeves operational role. It is designed for an experienced manager who thrives on the clinic floor alongside providers and staff, rather than delegating from a closed office.

If you take pride in running an efficient patient schedule, know clinical workflows from the ground up, communicate with clarity and professionalism, and bring common-sense attention to detail to purchasing and administrative tasks, this is an excellent opportunity to lead daily operations in a stable, physician-owned practice.

Core Responsibilities

  • Staff Leadership & Direct Supervision: Provide day-to-day direct supervision of front-office administrative personnel and clinical support staff across all locations. Maintain an active, visible presence on the clinic floor to guide daily patient flow, resolve operational bottlenecks in real time, and ensure consistent accountability.
  • Clinic Workflow & Schedule Coordination: Partner with physician partners and staff to maintain smooth daily patient flow, balance provider schedules in Athenahealth, and coordinate cross-site coverage across our three locations.
  • Purchasing & Inventory Control: Oversee general clinical supply ordering, office purchasing, and vendor accounts. Verify physical packing slips against purchase orders to ensure accurate contracted pricing and prevent inventory waste.
  • Margin Protection & Cost Awareness: Partner with our Billing Lead to monitor procedural supply and medication costs, ensuring supplies and provider-administered treatments are ordered, tracked, and accounted for accurately.
  • Vendor & Facility Upkeep: Serve as the primary administrative contact for office vendors, building maintenance, clinical waste services, and equipment service agreements across all three suites.
  • Payroll & HR Portal Administration: Process bi-weekly payroll, track staff hours/PTO in our payroll platform, coordinate employee benefits enrollments, and onboard new clinic personnel.
  • Patient Experience & Professional Culture: Address patient service questions professionally, maintain a calm and organized clinic environment, and foster a collaborative, respectful workplace culture.
  • Clinical Compliance: Ensure clinic-wide adherence to OSHA, CLIA-waived testing, HIPAA, and outpatient infection control standards.

Required Qualifications

  • Clinical Foundation: Minimum 3+ years of hands-on experience in an outpatient clinic setting as a Certified/Registered Medical Assistant (CMA/RMA), Clinical Coordinator, or Licensed Vocational Nurse (LVN).
  • Supervisory / Management Experience: 3 to 7+ years of medical office management or clinical supervisory experience in a busy private practice or outpatient surgical setting.
  • Operational Discipline: High attention to detail, common-sense cost awareness (verifying invoices and orders before approving), and a direct, professional, and collaborative communication style.
  • Software & Systems: Hands-on experience with Electronic Health Record systems (Athenahealth preferred) and automated payroll/HR platforms (e.g., ADP, Paychex, Gusto).
  • Work Style: A hands-on, problem-solving mindset with a preference for active clinic floor engagement over remote or purely desk-bound administration.

What We Offer

  • Competitive Base Salary: $72,000 – $78,000 per year (commensurate with clinical and management background).
  • Performance Incentive: Quarterly operational bonus potential.
  • Comprehensive Benefits: Medical, dental, and vision insurance packages.
  • Retirement: 401(k) retirement plan with generous practice matching.
  • Work-Life Balance: Paid Time Off (PTO) package and paid standard holidays.
  • Environment: Stable, independent, physician-led practice environment.

Pay: $72,000.00 - $78,000.00 per year
