Responsibilities
- Support the COO and Program Director in executing daily administrative and clinical-support operations, including intake coordination, therapy scheduling, and documentation tracking across OMHC and PRP programs.
- Assist leadership with onboarding workflows for new personnel, and coordinating orientation on EHR processes and compliance standards.
- Maintain documentation compliance through regular chart audits, tracking consents, IDs, DLA-20s, IRPs, treatment plans, and CPRP signatures.
- Utilize EHR systems and Google Workspace to maintain schedules, update client trackers, conduct billing log audits, and ensure progress note completion prior to claim submission.
- Facilitate operational communication and logistical coordination between clinical therapists, PRP Dream Coaches, and external billing teams.
- Monitor program operational data, including encounter volumes, caseload alignment, authorization cycles, and concurrent session deadlines to support leadership reporting.
- Assist in maintaining audit readiness by organizing records and ensuring adherence to state health standards, COMAR regulations, and accreditation guidelines (CARF/JCAHO).
- Communicate effectively across clinical, administrative, and leadership levels using clear professional communication to foster an organized and collaborative environment.
Qualifications
- Proven administrative and operations support experience within outpatient mental health or community-based behavioral health environments (OMHC & PRP focus preferred).
- Ability to work closely and collaboratively under executive leadership (COO/Program Director) to execute administrative tasks with high precision.
- Strong skills in clinical documentation auditing, task tracking, and working knowledge of COMAR regulations and Maryland Medicaid guidelines.
- Demonstrated experience in high-level administrative coordination and operational workflow execution.
- Proficiency with behavioral health EHR platforms, Google Workspace (Docs, Sheets, Calendar), and operational management tools.
- Excellent organizational and time management skills with the ability to prioritize tasks efficiently and meet strict daily deadlines.
- Strong organizational qualities with the ability to follow through on directives and communicate clearly with all team members.
