Position Summary
The HR & Marketing Coordinator is a full-time, on-site role based in Hawthorne, NY that combines human resources coordination with hands-on marketing support in one position. Roughly 60% of the role is HR — recruiting, onboarding, and employee administration — and roughly 40% is marketing — campaigns, content, and brand communication. When HR demands spike, such as a hiring surge or an employee matter, HR takes priority.
This role is ideal for an organized, discreet, and creative person who enjoys both people work and promotion: the same skills that market our services to customers also market QualityPro as a great place to work. The Coordinator handles day-to-day HR coordination and marketing execution; sensitive HR decisions are referred to management.
Key Responsibilities
Human Resources & Recruiting (approx. 60%)
- Post and maintain job openings on Indeed and other platforms; keep postings accurate and current
- Review applications, conduct initial phone/video screenings, schedule interviews, and coordinate candidate communication
- Check references and prepare approved offer letters; track applicants and update management
- Coordinate new-hire paperwork and employee files; assist with payroll setup, benefits enrollment, and employee information updates
- Coordinate uniforms, equipment, system access, and training schedules for new hires
- Track time off, handbook acknowledgments, licenses, and certifications; help coordinate performance reviews and follow up on paperwork
- Assist with employee departures, including documentation and return of company property
- Maintain strict confidentiality of employee information; refer sensitive concerns to management
- Support internal communication — team announcements, training reminders, and company celebrations
Marketing (approx. 40%)
- Plan and execute marketing initiatives to promote QualityPro's services, strengthen brand awareness, and support sales growth
- Conduct market research to analyze trends, define target audiences, and develop effective campaigns
- Create and update promotional materials, social media content, and hiring/recruiting posts and ads
- Manage digital and traditional marketing channels, including the company's Facebook, Instagram, TikTok, and YouTube presence
- Coordinate with the sales team to align messaging and lead-generation activities, and help convert prospects into customers
- Track campaign performance and provide regular reports and recommendations
- Collaborate with operations and customer service teams to ensure consistent communication and a positive client experience
Qualifications
Required
- 2–3 years of experience in HR coordination, recruiting/onboarding, marketing, or a related administrative field — strength in one area with the ability and willingness to be trained in the other
- Strong communication and customer service skills, to effectively interact with candidates, clients, and internal teams
- Sound judgment and complete discretion with confidential employee information
- Market research and marketing strategy skills — able to analyze trends, define target audiences, and develop effective campaigns
- General marketing knowledge, including digital marketing channels, social media, and basic content creation
- Sales-related skills to support lead generation and collaborate with the sales team
- Strong organizational and time-management abilities; able to switch between HR deadlines and marketing projects without dropping details
- Proficiency with Microsoft Outlook, Word, Excel, and Teams, and with marketing and analytics tools
Preferred
- Experience with Indeed hiring tools / Smart Sourcing, Gusto, or similar HR and payroll systems
- Experience supporting a service-based or field-service business
- A bachelor's degree in Marketing, Communications, Business, Human Resources, or a related discipline is preferred, but equivalent relevant experience will be considered
